We have written it to be short and plain. If anything is unclear, please ask.

2. What we collect
When you place an order or create an account: your name, company name, billing and delivery address, email address, phone number, what you ordered, any order notes, and your account login. Card payments are taken by Stripe; we never see or store your full card number.

When you use our chat assistant: the messages you type and any contact details you choose to give.
When you sign up to our newsletter: your email address, and the fact that you confirmed your subscription.
When you browse the site: technical information such as your IP address, browser and device type, the pages you view and how you arrived at the site. Some of this is collected using cookies; see section 7.
We do not knowingly collect information from children. Our site is aimed at businesses and adults.
3. Why we use it, and our legal basis
| What we do | Legal basis (UK GDPR) |
|---|---|
| Process and deliver your order, take payment, handle returns, repairs and warranty claims, and send order and delivery emails | Contract |
| Run your online account and, if approved, your trade account and trade pricing | Contract |
| Assess a trade account application, including contacting the references you provide | Steps before entering a contract, and our legitimate interest in managing credit risk |
| Keep accounting and VAT records | Legal obligation |
| Answer enquiries, quotes and chat messages | Legitimate interest (responding to you), or contract if it leads to an order |
| Send our newsletter and offers by email | Consent (you can unsubscribe at any time) |
| Measure how the site is used so we can improve it (Google Analytics) | Consent, given through our cookie banner |
| Show relevant adverts and measure them, including reminders about items left in your basket | Consent, given through our cookie banner and, for emails, your newsletter consent |
| Prevent fraud and keep the site secure (for example blocking repeated failed logins) | Legitimate interest |
4. Who we share it with
We only share what each provider needs to do its job. Each acts on our instructions under a contract, except where noted.
- Stripe (Stripe Payments Europe Ltd and Stripe, Inc.) processes card payments, Apple Pay, Google Pay and Stripe Link, and checks payments for fraud. If you choose to save your details with Link, Stripe holds them under its own privacy policy. stripe.com/gb/privacy
- Mailchimp (Intuit Inc.) sends our newsletter. Our shop is connected to Mailchimp, so customer, order and basket details are synced to it; this lets us send relevant emails (only to people who have subscribed) and reminders about an unfinished basket. Mailchimp’s website script and tracking pixel only load if you accept Marketing cookies. mailchimp.com/legal/privacy
- Google (Google Ireland Ltd / Google LLC) provides Google Analytics 4 and Google Ads, and lists our products on Google Shopping. See section 7 for how consent works. policies.google.com/privacy
- MyChatBot provides the chat assistant on our site, which answers questions automatically. Your chat messages are processed by MyChatBot to generate replies.
- Microsoft (Microsoft 365) runs our email, including order emails sent from orders@weldsafe.co.uk.
- IONOS (IONOS Cloud Ltd) hosts our website on a server in the UK.
- YouTube (Google) plays the product videos on our pages, only after you accept Marketing cookies.
- Couriers and suppliers receive your name, delivery address and phone number when needed to deliver your order or ship it direct from the manufacturer.
- Our IT and accounts systems: orders and trade account details are recorded in our Sage 50 accounts system, kept by us. Our website also receives stock levels from Sage 50; no customer information is sent to the website by that link.
- Professional advisers and authorities, such as our accountants, insurers, HMRC or the police, where we must or where it is needed to protect our rights.
We never sell your personal information.
5. Transfers outside the UK
Some of our providers (Stripe, Mailchimp, Google and possibly MyChatBot) process data in the United States or elsewhere. Where they do, the transfer is protected by the UK–US “data bridge” (for providers certified to it) or by the UK International Data Transfer Addendum to standard contractual clauses.
6. How long we keep it
- Orders, invoices and trade account records: 6 years after the end of the financial year they relate to, as tax law requires.
- Online accounts: until you ask us to close the account, or after 3 years without use.
- Unsuccessful trade account applications: 12 months.
- Enquiries, form submissions and chat conversations: 2 years, unless they lead to an order.
- Newsletter: until you unsubscribe. We then keep your email on a suppression list so we do not email you again.
- Google Analytics data: 14 months.
- Security logs (such as failed login attempts): a few weeks.
7. Cookies and similar technologies
We use a cookie banner (Complianz) so you can choose which cookies to allow. Essential cookies, such as those that keep your basket and login working, are always on. Statistics cookies (Google Analytics) and Marketing cookies (Mailchimp, YouTube videos, Google Ads and order-source tracking) are only set if you accept them. You can change your choice at any time from the “Cookies” link in the footer.
We use Google Consent Mode v2. If you decline cookies, Google’s tags do not set cookies, but may still send basic, cookieless signals (such as that a page was viewed) which Google uses to estimate overall figures. They do not identify you.
The full list of cookies, what they do and how long they last is in our Cookie Policy.
8. Keeping it safe
The site uses HTTPS throughout. Card details go straight to Stripe and never touch our server. Access to customer data is limited to staff who need it, the server is kept updated and protected against login attacks, and backups are kept securely in our office.
9. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong or incomplete;
- delete it, where we no longer have a good reason to keep it;
- restrict or object to how we use it, including at any time to direct marketing;
- give you your data in a portable format;
- withdraw your consent, where we rely on it (this does not affect what we did before).
You can update most account details yourself under My Account. For anything else, email info@weldsafe.co.uk or call 0141 959 5666. We will reply within one month and may ask you to confirm your identity first.
If you are unhappy with how we have handled your information, please tell us so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.
10. Links to other sites
Our site links to manufacturers’ and other websites. We are not responsible for their privacy practices, so please read their policies.
11. Changes to this policy
We will update this page when our practices change and show the date of the latest version at the top.
